Overview

Metro Records Management provides for systematic, effective, and economical controls over the planning, design, creation, distribution, organization, maintenance, use, access, protection, preservation, and disposition of all records of Metropolitan Government.

Principles

Metro Records Management administers its program according to the following principles:

  • Support the continuing conduct of Metropolitan government business
  • Comply with applicable local, state, and federal laws and regulations
  • Provide necessary accountability through records and records systems
  • Guide and support the creation and maintenance of authentic, reliable, and useable records, and protect and maintain the integrity of those records for as long as required
  • Maintain machine-readable records and records systems and human-readable records and records systems by the same rules, standards, and principles

Responsibilities

Metro Records Management provides for uniform policies, standards, and procedures for the creation, identification, appraisal, access, maintenance, preservation, protection, reformatting, retention, transfer, and disposition of all Metropolitan government records.

We advise and assist all Metropolitan government departments in implementing departmental records management programs, including training Metropolitan government employees in all applicable aspects of records management.

We administer a program for the purpose of operating and maintaining cost effective storage and access for Metropolitan government records for which the departments still hold legal custody and which are no longer required for access in departmental office space.

We assist departments in designing, implementing, maintaining, and protecting compliant human-readable and machine-readable systems for managing Metropolitan government records.
