Records Schedules

Metro government records must only be destroyed in accordance with approved records schedules.

A Records Schedule is a document that lists the types of records maintained by each department. It also specifies a period of time after which destruction of the records is authorized as a matter of policy. Further, a records schedule identifies the organization’s archival records and mandates their permanent retention.

Approval for Metro Records Schedules is obtained from the Metro Public Records Commission.

General Records Schedule

All Metro departments, offices, and agencies may use the Metro General Records Schedule. The General Records Schedule is available through this link:

The General Schedule has retention entries authorizing destruction of most types of administrative, financial, and human resources records that are held by Metro departments, offices, and agencies.

Please be aware that if your office or agency has hiring or purchasing authority, the entries in the financial and human resources sections of the General Schedule may not apply to your records. You may need to seek approval for retentions specific to your office’s or agency’s financial and human resources records.

Departmental Records Schedules

Each Metro department, office, and agency also must have an approved departmental records schedule. Departmental Records Schedules apply to records that are unique to the specific functions and processes of the department, office, or agency.
